The logistical department is made up of 9 experienced project managers, each with a minimum of 8 years experience in running meetings. The role of this department is to coordinate all of the internal services of Europa Organisation (registrations, commercialisation, programme secretarial work, IT) or those provided by a sub-contractor (site management, catering, hostess agency…). The project manager is the unique interface between Europa Organisation and the client. The project manager is equally responsible for monitoring the financial management of the project under the supervision of the Director of Operations.
Commercial department, Exhibition and Partnerships
From market analysis and the development of a business strategy, to competitive intelligence, Europa Organisation has a solid understanding of the congress and convention market. The multiplicity of sites and diversity and number of exhibitors gives us the expertise to manage exhibit spaces of varying sizes, from 400 to 9,000 m2 for special events, up to 28,000 m2 for congresses and salons. Each meeting has tailored-made documents: partnership file, exhibition guide, preliminary plan, detailed plan, personalised offers…
Registration management department
Registration management is the logistical foundation of all professional meetings. Europa Organisation possesses a centralised reservation system using specialised software which allows online registration for all the participants. A person in charge of registrations is present during the event. Europa Organisation manages over 60,000 registrations annually.
Information Technology department
Europa Organisation has a powerful internal IT structure equipped with the latest software specifically designed for each need such as online registrations and secure payments. Europa Organisation is directly involved in diverse projects using the latest multimedia technologies (e-learning, e-posters, webcasts) and is currently developing the necessary IT and media technologies adapted for our meetings. For example, a book of abstracts can be published on USB thumb drive, and the different scientific sessions can be made available online.
Department of programme administration
This department is responsible for managing and coordinating the scientific content of a congress under the direction of the Scientific Committee. Most importantly, this department collects the participants’ abstracts and also publishes the activities of the meeting and/or the abstract book. This same department at Europa Organisation manages the transportation and housing of participants and VIPs for the meeting.
